Create an Email Use Policy that STICKS!
 
The good news is that as you continue to collect more email address of your alumni, you will be able to communicate more frequently at less cost, however the bad news is EVERY departments on campus will also want to communicate with alumni more frequently too!
 
As the number of email addresses increase, you can expect two things to happen!
 
The athletic department, the Deans of each college and others will quickly recognize the value of the email addresses you have collected request your assistance in emailing to your/their alumni. Second, various departments and Deans will attempt to mimic your success and create their own email address database. If this goes unchecked alumni could be receiving three of four emails from the same department on the same day. Now is the time to gain everyone’s cooperation and set down policies, rules, procedures and financial remunerations.
 
By taking this course you will learn the following 10 areas you should include in your Email Use Policy:
  1. Identify your goals
  2. Set the number of times alumni can be emailed by EVERYONE each month
  3. Identify which departments are authorized to fundraise
  4. Build your email usage policy around the needs and participation of other departments
  5. Identify which email marketing tools are available to all departments
  6. Employ target marketing and analyze the results
  7. Determine if you need to charge a interdepartment fee for your time
  8. Create plan to fix bad/undeliverable email addresses
  9. Develop guidelines on how to write an email, length and content
  10. Develop a plan that includes the needs of affinity partners
Before this becomes too much of a mess on campus, take a few hours to complete this course and help your organization look to the future in building a comprehensive strategy that includes all stakeholders on campus.
